Tracking Volunteer Hours

Collecting each month on a quick Google Form. We will be asking for your:

  • First and last name

  • Student’s first and last name

  • Number of hours volunteering

  • Brief summary of activities: (ex. Can drive, uniforms, props, chaperone)

 

For the first collection of volunteer hours it will include:

  •  Summer (Fun Run June 1st through September) current hours

 

NOTE*** The QuickBooks Workforce App is getting discontinued for our organization. 

  • If the QuickBooks Workforce App is what you have been using to record hours, then you will need to record that data from the June 1 Fun Run -September in an alternate way.

    • Please write them down or record so it is ready for you to report on the Google Form

    •  Take screenshots with your phone, record on paper (like the sample handed out and on the web), use a spreadsheet, mark your calendar, etc. 

    • You can view ~3 months prior on the Quickbooks Workforce App. Please collect your data soon before it disappears! 

 

For this ‘24-25 School Year please continue to keep your own records on paper, calendar or spreadsheet at home to document your totals. There is a printable form below if you would like to keep records on paper. 

  • Each month a Google Form will be sent out to collect the total number of volunteer hours contributed.  If you prefer to turn in the paper copy to the volunteer coordinator instead of a Google form that works too!

  • Hours will be added into our database each month which contributes to paying off the parent hours part of the fair share fees:

    • 16 hours per family Fall season

    • 10 hours per family Winter season

Please keep documenting throughout the whole year even as you meet the goals!  We want to be able to report a combined total number of hours served by our organization to the school and community this year to highlight our amazing Band & Colorguard families! Thank you!

Adult Volunteer 
Requirements

To encourage active support and participation of all adults, and to keep fair share costs down,  families are encouraged to volunteer. As an added incentive the first 16 hours of volunteer time will be compensated to offset the $200 fee which is payable in the April Marching Band Fees (see below). If the adult has a student also participating in a winter ensemble (winter drumline or winterguard) an additional 10 hours of adult volunteer time is requested. These hours will be applied and tracked per family, not per student, (ie. 2 students still equals 16 volunteer hours for marching). 

 

There are many volunteer opportunities throughout the year for CHSMB family members. These include sewing flags, washing uniforms, working concession stands at football games, monthly can drives, competition chaperones, prop building, food prep & serving, Century Showcase, etc.  Inquiries should be sent to our volunteer coordinator at volunteers@centuryband.org.

 

The Hillsboro School District requires that all family volunteers fill out the volunteer application including a criminal background check and fingerprints. These items are found online by going to the Hillsboro School District website at: www.hsd.k12.or.us. Click on Community, Volunteering, and Volunteer Application. Follow the instructions and submit the application. Volunteers will be notified by email when the application is approved.

 

For accounting purposes, the $200 fee will be added to the oldest student’s account per family at the beginning of each school year or when a new student is added to the roster. This fee isn't due until April and will be reassessed then based on submitted volunteer hours. In April, accumulated volunteer hours will be deducted from this volunteer charge. If the 16 hours are complete, this fee will be considered paid in full. Partial volunteer hours will be credited at $12.50 per hour.
