Parent Meeting Minutes 

June 11th, 2024 

Budget 

Handed out the attached form with the numbers projected for next year. 

The income comes from Donations, Fees/Membership, Fundraising and Century Showcase. 

Our expenses are Fall Marching Band. Much of the cost goes to paying staff. In the break down we have marching percussion, marching colorguard, other expenses like travel, renting equipment trucks, props, etc. The brunt of all that is payroll. Concert band, we bring in a couple of clinicians and we buy music. Jazz band Joe Aloia to come in and teach a 2nd Jazz band. This includes some travel, competition fees and music. Winter Percussion and Winterguard are low because the boosters give them this money, we call this seed money. The budget for the winter programs is higher and we charge students to participate and we didn’t include that money in the budget because we give all those fees to those programs. The majority of the budget goes to payroll to bring staff in to work with the students. 

Our school district pays $1200 for colorguard, they pay for one assistant director, and $1200 to Jazz Band. That is supposed to go to Mr. Dunlop but he doesn’t keep that. The goes to cover costs. Our district pays relatively little in the auxiliary things. The school budget for instruments is not terrible. We have arch investment money that helps us buy a couple of instruments every year. 

The all nighter is an incentive for the students to come to fundraisers. We make more money at a can drive if we have a lot of students show up. 

Work study is where we try to make sure that if their are students that need help we can help them. We do not give students money. It goes to pay their fees. An example would be we have a music librarian who works enough hours to cover the fees. 

Parade camp/parades this year we went to Spokane and one example is the equipment truck cost $1000, food, etc.

Professional Fees Examples taxes, Charms now CutTime, Quickbooks. 

We try to leave a little money each year so we can get to a point where we are a season ahead. This year was very stressful and it is that we are still coming out of Covid and other issues. Fundraising slowed down during Covid so we had savings and we used the savings and we need to build that back up. 

We didn’t put the Hawaii trip on the budget because it was cost neutral. 

We are projecting 134 students next year. 

Take it for a Spin 

We are very excited about our new colorguard coach, Zach Dye. We are trying to get more students into our colorguard. Please help recruit. He is already getting costume fittings. After this week we can’t have any more students until winter because the costumes will be ordered. Fall is intense and we can take 8th graders. 

Percussion 

If students want to drum and they never have they should sign up for the drum class and learn how to drum first. Percussion does have a different feeder program and if they haven’t played before they probably won’t get into marching band this year. They can come practice and learn. 

We do have 2 cadet programs in winter and we do charge a nominal fee. That pays for choreography and coaching. We put an adult coach with them. 

The budget was passed. 

Fireworks 

We are selling fireworks this year. We need helpers. Fireworks will be delivered on the 28th. We will start selling on the 29th. In the Walmart parking lot, on the corner of Baseline and Corneilus Pass. We offer 2 shifts per student and each shift gives a fundraiser point. If there are not enough sign ups we will let you have extra shifts. Shifts run 4 hours. 

Can Drive 

The next can drive is June 15th. 

4th of July parade 

If you are in town we need everyone to march. If you are out of town then let us know. They are used to us being the best looking and best sounding. 

Juneteenth 

Mr. Dunlop got the date for Juneteenth performance wrong. He thought it was for the 19th but it was actually on the 8th. (The same date as graduation.) Many apologies for the misunderstanding. 

One More Time Around Band 

We brought in $2100 for this successful event and the Band donated $500 to us as well. 

Fun Run 

This was very successful. We already have people call us and let us know they want to sponsor us next year. 

We are going to slim down the fundraisers. We are going to focus on bigger exciting events like the fun run and the auction. The students will have to decide if they want to make the money from the smaller fundraisers like the poinsettias or pies. We will not be giving points for the smaller fundraisers that put money into the students accounts. We will be requiring less points next year and that will be in the new handbook that we will have ready by the fall season. We will not do the spring pie sales. 

We will have Can Drives this summer. June, July and August. 

Treasurer 

Last invoice for this year June 15 and July 15th will be the first invoice for the 2024 - 25 school year. Starting next year expenses are going to have a form to fill out. For example, If you were to buy food for the band. 

Payment envelopes need to be filled out clearly. The envelope must have the student name, amount of check, the check number and what the money is for. There is a note on the lock box 

and there is an example on the web page. Payments will be returned if there isn’t clear information. All checks must be made out to Century Band Boosters. Please add memo on the check. 

Working towards being transparent with the finances. 

There is a 25% discount for a 2nd child and 50% for a 3rd child. 

Freshman meeting 

We were going to have a Freshman parent meeting and we will still have that after my return. Sometime after on or July 1st. We need to have all the new students information so we can invite everyone. 

Recruiting more parent involvement 

We brainstormed different way to bring parents together and getting more involvement for volunteering. We understand it is difficult when we are new to get involved. One potential thing we could do is have a parent meet and greet. Or have parent buddies. 

Coming to a parent meeting helps you with getting hours towards your responsibility.
