Volunteers
Cris is wanting to help set up more food team structure. She's willing to be the food manager, overseeing, making sure that all groups have a plan, with budgets for meals, making sure they know actual amounts.
She would meet with Mr. Dunlop and each caption head to get budget details for each season.
She wants to make a food committee that is part of the board so that they have a better understanding going forward and can say what they need. We will not be adding a new board position. Food committee is a subcommittee under Uniforms and Apparel
We have not always fed the students. If the volunteers are so stressed feeling like they are doing all the food themselves, then stop. Don’t feed them, have them bring a sack lunch.
She would be the chair then she would put the committees together, help coordinate them and then get people.
It's pretty complex to add a board position.
We do need to put together a food notebook. I found an email that had a couple of items in it and I found a notebook in the closet and it had one recipe(ish) and that was it.
We decided not to move it under Fundraising because then moving that you have to update the bylaws and then resubmit everything for the nonprofit. It is a whole process.
Current sign-ups,. 8th period sound lab, I went and did it. It was cool. I'll plug that at the meeting next week.
March 8, Varsity winterguard, I just heard they can't bring in food. WGI rule.
March 15th is WGI percussion (both teams) in Monmoth. Also Winterguard both teams to Glencoe Competition.
There is also a can drive on this date. Madeline’s last one and we should have someone shadow her.
There should be some committee chair for some of the fundraisers. The auction clearly is running much better with a committee of its own.
The CanDrive should have a committee person, at least a spot person.
We need somebody for the showcase.
There are a few fundraisers that need a leader and a group to do that one.
Fundraising should be the big boss, but that they shouldn't have to run the entire thing.
The CanDrive specifically, there's the cansforband@centuryband.org. We really need for parents to say, I'm free these hours, these days and then when someone requests a can pickup, then we send them out to do a pick up.
At the next meeting, we should cast the net for a can person, a showcase person and then fireworks person.
North Thurston, There's two pieces now. There is the drumline piece. They're leaving early in the morning on Saturday, March 22. Then they are going up to the competition and they will come back on Sunday afternoon. We're going to go to the Great Wolf Lodge, which is about 30 minutes away from the competition. They're going to spend the night. Then they're going to play at the Great Wolf Lodge in the morning.
There is a big jazz festival up there that we got invited to at the last minute.
The jazz band is also going to go up on their own bus. And they are coming back Saturday night. I think they will get back here at about 10.30.
March 29th Winter Guard Championships at Liberty. Both groups.
April 5th is Percussion Championships. Both groups
April 11th and 12th is parade camp at Camp Rilea. We have to cook.
We need a cooking team. 6 chaperones.
4 parade practices. Tuesday April 29th. 6pm - 8pm, Tuesday May 6th 6pm - 8pm, Tuesday May 22th 4pm - 7pm
St. John's Parade is Saturday May 10th.
Colorguard Try it Outs June 1 and 2.
Uniform and Apparel
Madeleine is working on the jackets from last year.
We can't get that jacket, we have to switch to a jacket that's similar. We can now print these at school.
Jackets can be found at SanMar.com we need to find one that is similar.
There's an embroidery place in downtown Hillsboro (by the Toyota dealer) that made our patches, and they're awesome and fast too.
Treasurer
Winter fairshare due. QuickBooks is really good with numbers, not so good with graphics.
We need to know who is going to Great Wolf Lodge as they will need to pay the fairshare or they are unable to go on the trip.
There is a majority that have partially paid or not paid at all and they need to pay.
We also need to track back the parent volunteer hours. We are doing that.
We need to get the senior information to the bookkeeper.
Our Bank account currently is sitting at 6,000 but we have some large outstanding checks out.
End date for student points is: April 14th.
End date for parent volunteer is May 15th.
Fundraising
The menu for the auction has been finalized.
As of this meeting 32 auction tickets have been sold.
March 1 the price went up to $60.00
Can Drive March 15th. Students that have performance this date can bring in 5 trash bags of cans to get a point.
We want to have a table at the cluster concert to sell old show t-shirts to incoming students. The students love the show shirts.
This year show shirts for the guards are designed and will be done soon. The Varsity percussion will be done next week and the A percussion doesn’t have a design yet and we are working on it.
We need to start a committee for the 5k bandwidth run and that is coming May 17th.
We need a point person for the Louie Louie world record.
June 1 Blue Ox Axe throwing for the parents. 5pm -7pm.
Rock climbing for the families coming soon.
Jim Dunlop
I believe the best place to go next year is going to go to Washington DC and be part of the 250th anniversary. This is a unique opportunity for us. Good publicity for us.
I have gone over to Brown and talked to all the incoming eighth graders about band next year. They are sounding great. I’d like to have a meeting soon (the week after spring break, Wed April 2nd 6pm) with them and invite them to parade camp and parades.
Need to get the budget ready for May. Budget and vote for board members in May.
School calendar is out. School starts the day after Labor Day. No early start.
Guard and Drum camp 3 weeks before school starts. Band camp the 2 weeks before school starts.
