This one will tell you who all is in the band and what section they are in. 


  • In Google Drive under Shared Drives you will find many documents that are shared with the other board members. There are going to be permissions where people can go and view them. As well some where you can edit certain things and then certain things you can’t edit. You will not be able to delete 


Uniforms - Lisa Cavanaugh

  • Parade season - hats vs shakos - 23 new marchers sized at parade camp

  • We’ll have more new marchers in August - do we want to continue with hats? How many additional kids are going to be marching for parade? I need to make sure I have enough hats. I had 23 kids I uniformed at camp. The 130 is everybody, except for guard.

  • We will light up the band for the Rose festival/Starlight parade. It's a crossover. Our show-up time is 6.50. We don't even start until 8:20.

    • Double shift numbers requested this year by TNT & ~40% more fireworks

    • Idea: Fortify tent with chicken wire/wood structure to roll up walls?

  • Saturday, July 4- Hillsboro 4th of July Parade- we are the first band- National Anthem w/Grand Marshall

  • July 13-24 (Jazz Academy) M-F 9-Noon with concert on July 24 evening 7PM?


Volunteer Stats:

  • Total Hours 8426.67 (as of 5/4 3PM)

  • Family Completions to Jason Keezel 74 

    • Due Dates: 

      • May 1st for Seniors 

      • June 1st for all others

    • Winter Groups- $125 Fees Waived with 10 hours of volunteering

    • Marching Groups- $200 waived with 16 hours volunteering 

    • Partial volunteer hours will be credited at $12.50 per hour


  • Volunteers Approved to date 134


Questions & Future tasks?


  • New Families to get approved & fingerprinting for Volunteering over the summer

  • Update/Review Bylaws if desired- May/June?

    • Add a Food Position/Role?

    • Generalize the tools/programs used in language of document (instead of CHARMS, etc.)

  • Any specific volunteer needs/requests or Special Projects?

  • Inventory of Supplies/Clean Tent - possibly during future can drive- summer time before Fall Season

Treasurer - Tom Thaxton and Jason Keezel

  • We made $2,200 for the walkplay spin. 

  • Restaurant night's almost $3,000.

  •  We spent $7,000 on instrument repairs this year. 

  • Merchant account fees, we charge a 3% fee on our invoices.

  • $240,000 in revenue and we're only eating $1,700 in renting fees, I think it's a pretty good deal. 

  • Software and apps, QuickBooks and CutTime. I don't anticipate that changing much. 

  • We got a $5,000 donation from the Hillsboro Community Foundation, and will go up to $7,500. That's not even likely going to be an expense this year.

  • Transportation costs, it was more like $11,000 this year that got booked, I put in $12,000 additional for the buses next year. 

  • We've charged the students about $22,000 for various concerts and costumes and apparel and color guard and what have you. The actual cost to us was about $36,000.
