May Board Meeting

Patty Battin

May 6, 2025

Uniform, Fundraising, Treasurer, President, Volunteer

Uniform and Apparel

  •  Missing Bibbers. We have a stack of Bibbers in the train. We should budget for a few Bibbers especially the larger size. Also we could use some new garment bags for uniforms.

  • Looks like we are in okay shape on shoes

  • We will use the red wagon to carry water and my repair kit. There is another red wagon and a blue wagon that Colorguard uses.

Fundraising

  • The Auction was great and we are back at it already. We met again to discuss what worked and what didn’t work. How we want to move forward. We got the spreadsheet up and running. Looking at charging less next year. We made about $12.000 from this auction.

  • A new fundraiser, We want to have a bingo night with a bunch of food trucks. A fun night in the fall.

  • Bandwidth Run moved to September 20. We’d like some parents who are into running to help us out with this.

  • Flower baskets are taken care of by Madeline. Thank you Madeline. We sold over 100.

  • Submitted to guinness world records. Still waiting to hear back from them. They have to approve. All paperwork has been submitted. We need them to approve Christina.

We will still do it unofficially if we have to. May 30.

  • June 1 Blue Ox Axe throwing for the parents. 5pm -7pm. Going on sale May 1. $30 fee for 2 hours. 100% of the fee money goes to the band.

Treasurer

  • Seniors with balances have been turned into Amanda the bookkeeper. If you didn’t get a yellow slip you don’t owe anything.

  • Tom worked the budget. This will get sent out soon. We will vote on the budget in June.

  • The date to nominate for a board position has passed and we are not accepting anymore nominations.

  • The Jackets are a mess. We do need to find a way to track the jackets. We need to put into the budget more jackets.

  • First Hops check came in this week. Also got a check from NW Cascades.

  • We got a $400 check from Kroger.

  • Senior students can’t go to Prom or receive their graduation certificate until their fees are paid.

President

  • Who wants to own the admin.google? Treasurer is willing to take that on.

  • Accounts that people are sharing we need the recovery email to go to a board member. That way we can control who is connecting to it.

  • Everybody can co-own Wix.

  • Web admin a board member needs to own

  • Web-editor is separate.

Volunteer Coordinator

  • Google Form is out.

  • Totals for Year- TBA

  • Remind Families to Renew Volunteer Status and encourage new to band families to complete volunteer process early. Sometimes it takes a very long time.

  • Food Trailer- We still have $600 to spend. Clara is getting specific. We think a 4 burner would be best.

  • We really need a generator.

  • Potentially May 22 at 7pm for new parent meeting.

  • Fireworks stand. We would like to have a different location and less expensive fireworks. We do well with them. We need to find someone to stay on site.

  • Family volunteer hours are due on the 15th.

  • Final Concert. Let's have families bring dessert to share. Treats and Drinks
